The WhatsApp Business API in India costs three things: Meta's per-message charge (marketing messages cost the most, utility messages much less, and replies inside a customer-started 24-hour window are free), a provider or hosting fee, and a one-time setup. A small business sending a few hundred automated messages a month usually spends somewhere between ₹1,000 and ₹5,000 a month in total.

How is WhatsApp Business API pricing calculated?

Meta bills the WhatsApp Business Platform per delivered template message, and the price depends on the message category and the recipient's country. For Indian numbers there are three categories that matter:

CategoryUsed forRelative cost
MarketingOffers, reminders to come back, broadcastsHighest
UtilityAppointment confirmations, order updates, payment receiptsLow
AuthenticationOTPs and login codesLow
Service (customer-initiated)Replies within 24 hours of the customer messaging youFree

Meta revises the India rate card periodically, so always check the current numbers on Meta's official pricing page before you budget. The structure above has stayed stable: marketing costs noticeably more than utility, and replying to someone who messaged you first costs nothing.

What else do you pay besides Meta's fee?

You need a way to actually connect to the API. There are two routes:

The direct route is cheaper month to month but needs someone to build the workflow. That's the setup I usually do for clinics and service businesses, using the approach in how to automate WhatsApp Business replies with n8n.

How WhatsApp API messages get billed: Customer messages you → Free 24-hour reply window → Automated reply via API → Utility / marketing template → Charged per message by Meta
How WhatsApp API messages get billed

What does a small business realistically spend per month?

Three common setups, with rough monthly totals:

BusinessTypical usageApprox. monthly cost
Clinic with appointment reminders300–600 utility messages, replies to inquiries₹500–₹2,000 (direct API)
Salon or gym with offersReminders plus 1–2 small broadcasts₹1,500–₹4,000
Business on a BSP planSame as above, with a dashboardAdd ₹1,000–₹3,500 platform fee

These are working estimates from typical projects, not quotes. Your actual bill depends mostly on how many marketing messages you send.

Is the free WhatsApp Business app enough?

For many small businesses, yes, at the start. The free app gives you quick replies, a greeting message, an away message and labels. You need the API when:

  1. More than one person has to answer from the same number
  2. You want replies triggered automatically by a form, booking or missed call
  3. You want inquiries logged to a sheet or CRM without copy-pasting
  4. You send reminders to hundreds of people regularly

If none of those apply yet, stay on the free app and read how to turn website visitors into WhatsApp leads first.

FAQ

Questions about this topic

How much does the WhatsApp Business API cost in India?

Meta charges per delivered template message, with marketing messages priced highest and utility and authentication messages much cheaper. Replies within 24 hours of a customer messaging you are free. Most small businesses spend roughly ₹1,000–₹5,000 a month including provider or hosting costs.

Is the WhatsApp Business API free?

Access to the Cloud API is free, and customer-initiated service conversations are free, but business-initiated template messages are charged per message by Meta.

Do I need a BSP like WATI or Interakt?

No. A BSP gives you a ready dashboard for a monthly fee. You can connect directly to Meta's Cloud API through automation tools like n8n and avoid the subscription.

When should a small business switch from the WhatsApp Business app to the API?

Switch when several staff share one number, when you want automatic replies from forms or missed calls, or when you send reminders to hundreds of customers regularly.
